Background and Purpose
Brain Builders Youth Development Initiative (BBYDI) invites quotations and proposals from licensed
HVAC contractors and facility installation vendors to supply, mount, electrical-wire, and commission five
(5) split-unit air conditioning systems at its principal facility in Ilorin, Kwara State.
Scope of Supply & Technical Requirements
Equipment Quantity: Five (5) Wall-Mounted Split Air Conditioner Units.
Minimum Capacity: 1.5 Horsepower (HP) per unit.
Energy Efficiency: Inverter-technology preferred (eco-friendly refrigerant R410A or R32, pure copper
condenser coils).
Installation Materials: High-grade copper piping, heavy-duty exterior wall brackets, weather-sealed
drainage lines, isolator switches, and protective wiring components.
Mandatory Site Survey Step:
Because room volume, airflow dynamics, and electrical loading vary between meeting spaces, open-plan
work zones, and individual offices, bidders must conduct or participate in a facility site survey between
October 7 and October 8, 2026, at BBYDI’s office in Ilorin. This assessment allows bidders to verify
capacity sizing (confirming where 1.5HP is sufficient vs. where higher capacity may be advised) and
evaluate mounting requirements prior to bid submission.
Deliverables & Audit Verification
In accordance with internal control and grant audit requirements, final payment clearance requires:
1. Site Assessment Sign-Off: Pre-installation inspection verification form.
2. Commercial Invoice & Installation Receipt: Signed off by the BBYDI Facility Lead upon completion.
3. Asset Register Entry: Logging of unit serial numbers, locations, and manufacturer warranty cards.
4. Photographic Evidence: High-resolution geotagged photos showing each installed, fully operational
unit.

Submission Deadline: October 10, 2026 (23:59 WAT)
Contract Award & PO Issuance: October 10, 2026
Physical Installation & Electrical Integration: October 12 – October 22, 2026
Commissioning, Audit Documentation & Sign-off: October 24, 2026
Financial Proposal & Submission Instructions
Currency & Price Validity: Proposals must be expressed in Nigerian Naira (NGN) and remain valid for a
minimum of 14 days post-submission.
Cost Structure: Financial proposals must break down unit purchase prices, mounting hardware/bracket
costs, electrical fittings, labor fees, and applicable taxes.

2. Site Visit Completion Form.
3. Company CAC Registration & Technical Certifications.
4. Client References: Contact details for two (2) past commercial HVAC installations.
